How to reply to hotel reviews

  1. Use the guest’s name and one detail they mentioned. It shows a person read the review, not a template.
  2. Lead with the problem on 1–3★ reviews. Acknowledge what went wrong in the first sentence. Thanking first reads as dismissive.
  3. Reply in the guest’s language. A Chinese or Thai review answered in English tells the next guest who reads it that you didn’t try.
  4. Promise nothing you haven’t done. “We’re renovating soon” becomes a broken promise in the next review. Say what is true today.
  5. Keep it short. 2–3 sentences for short reviews, under 150 words for long ones.
  6. Reply within a few days. Late replies still count, but fresh ones show you’re listening now.

Example: replying to a negative review

2★ review

“Lovely staff but our room faced the road and we barely slept. Breakfast was good.”

Reply

Daniel, I’m sorry the road noise kept you up. A room that faces the street isn’t right for a light sleeper, and we should have offered a garden-side room at check-in. Thank you for the kind words about the team and breakfast. If you come back, write to us before you arrive and we’ll keep a quiet room for you. Mai & the team

Questions

Is the review reply generator free?

Yes. Up to five replies a day, no sign-up. HoteliaOS drafts a reply for every review automatically, with your hotel’s details, in a 14-day free trial.

Does it reply in the guest’s language?

Yes. It detects the review’s language and writes the whole reply in it, keeping your hotel name and sign-off unchanged. Chinese, Thai, Korean, Japanese, German, French, Spanish and more.

Will the reply make things up about my hotel?

It is told not to. Replies mention only what the guest wrote and what you provide. It won’t invent amenities, promise renovations or offer compensation.

How should I reply to a negative hotel review?

Open by acknowledging the specific problem, not with a thank-you. Keep it short, take responsibility without excuses, mention what is already true (not promises), and invite the guest to contact you directly.

Can I paste the reply straight into Booking.com or Agoda?

Yes. Copy it and paste it under the review in your Booking.com extranet, Agoda YCS, Google Business Profile or Tripadvisor Management Center. Read it first and adjust any detail.
